Compress a PDF for Gmail

Gmail blocks anything over 25 MB, and that ceiling covers the entire message rather than each file. One slightly heavy PDF is enough to make the send fail.

Compress to 20 MB

Checked on 2026-10-17.

What the limit actually covers

The 25 MB applies to the whole message: the text, every attachment, and the encoding overhead Gmail adds while carrying them. Leave yourself room — a 24.8 MB file can still land just over the line.

The other common trap is the recipient's own receiving limit, which may be lower than yours. A 20 MB message leaves Gmail cleanly and is bounced by a company server capped at 10 MB.

Getting the PDF through, in three steps

  1. Open Compress PDF and drop your file in.
  2. Aim for 20 MB rather than 25, so you keep room for text or a second attachment.
  3. Download the result and attach it to your message.

The compression runs in your browser: the document is never sent to a server, which matters when it is a contract or a statement.

If the file is still too heavy

  • A scanned document weighs far more than one born digital: rescan at 200 dpi instead of 600 if you can.
  • A PDF of photos compresses better from optimised images — see Images to PDF.
  • A long file can be split: Split PDF lets you send it as two messages.
  • Past 25 MB, Gmail switches to a Google Drive link automatically — convenient, but the recipient needs access to it.

FAQ

What exactly is Gmail's limit?

25 MB for the whole message, attachments included. On the receiving side, Gmail accepts up to 50 MB.

Why is my 24 MB PDF rejected?

Attachment encoding adds roughly a third to the weight actually carried, so a file near the ceiling often crosses it once encoded. Go below 20 MB.

Is my file uploaded to a server?

No. The compression happens in your browser and the PDF never leaves your device.

Does compressing damage the document?

Text stays sharp and selectable. Images lose definition gradually: at 20 MB an ordinary document is still perfectly readable.
